Patient Responsibilities – Insurance Requirements
We welcome patients with private insurance, but it is the patient’s responsibility to check and understand their insurance policy, including coverage, referral requirements, authorisations, and any limitations, prior to attending their appointment

Please note that many insurance companies require doctors to be listed on a Specialist Register or approved provider list. It is the patient’s responsibility to confirm that the chosen clinician meets their insurer’s criteria before the visit.
The Clinic is not responsible for any issues, delays, or costs arising from a patient’s lack of knowledge or failure to confirm their insurer’s requirements. Any charges not covered by insurance remain the patient’s responsibility.
Patients with Health Shield Private Health Insurance
If you are covered by Health Shield private health insurance, you may be eligible to claim back all or part of the cost of your consultation or treatment at our clinic.
Before booking your appointment, we recommend contacting Health Shield to check your level of cover and confirm whether your consultation or treatment is eligible for reimbursement. Some policies may also require pre-authorisation.
In many cases, Health Shield requires the treating doctor to be listed on the Specialist Register for your claim to be eligible.

Repeat Prescriptions
Please be aware that waiting time for repeat prescriptions is 7 days. Each prescription has a specified validity period and must be used before its expiration date. If the patient does not collect the medication before the prescription expires, the prescription becomes invalid. In such cases, issuing a new prescription will require payment of the same amount as for a prescription. Additionally, in the case of controlled drugs (green prescription), the original prescription must be returned.
Prescription Expiry Dates (UK Guide)
Understanding when a prescription expires is important to ensure medicines are dispensed safely and appropriately. Below is a simple guide to help you:
Standard Prescriptions
Most prescriptions are valid for 6 months from the date they are issued.
This applies to the majority of routine medications.
Controlled Drugs
Prescriptions for controlled drugs (such as morphine or certain sedatives) are only valid for 28 days from the date on the prescription.
These medicines are more strictly regulated for safety reasons.
Antibiotics & Acute Medicines
Although legally valid for up to 6 months, antibiotics and other short-term treatments should be dispensed as soon as possible, usually within a few days.
This ensures the treatment remains clinically appropriate.
Data Protection
From May 2018, in compliance with the General Data Protection Regulation (GDPR), each patient having an appointment will be asked to consent to processing and storing their data, including the right of the clinic to contact the patient via phone, SMS, e-mail (including sending newsletters) or by post. The patient has a right to object to us using their personal contact details. Please note that this, however, will result in:
• the clinic being unable to contact the patient to change, confirm or cancel appointment
• the doctor being unable to contact the patient to discuss the test results or answer patient’s query
• the clinic being unable to send laboratory test results
• the clinic being unable to send newsletters to inform about our new services or exclusive offers
• the clinic being unable to send invoices for service received at the clinic
• the clinic being unable to send medical reports, medical documentation, treatment plans
• the patient being unable to use our credit facilities
• the patient being unable to book an appointment via our website
All information given will be kept confidential. No personal details will be passed on to third parties nor shared with companies / people outside of the company other than our subcontractors doctors working on a self-employment basis.
Clients/patients have the right to be forgotten. If an individual makes a written request to be forgotten, we must remove all data from our databases, which processes are handled by our manager.
Please note that we will be unable to erase client medical records, which are required as evidence of our clinical practice.
We will however, be able to delete individuals personal data from any email correspondence, booking and contact form data such as name, email, phone, DOB, contact message.
Calls may be monitored and recorded for record-keeping, training and quality-assurance purposes. You may, however, object to your conversation being recorded by informing our receptionist at the beginning of the conversation.

Please also note that the prices displayed in our booking system represent the basic cost of the selected service. These prices do not include additional charges for any extra services, tests, or procedures that may be required during your visit. Should any additional services be necessary, the associated costs will be explained to you during your appointment.

Complaints, Feedback
We are committed to providing high-quality care and welcome all feedback from our patients.
All complaints, concerns, or feedback should be submitted in writing to our company email.
We aim to acknowledge and address all correspondence promptly and professionally.
Access to Medical Records & Patient Data
Requests for medical records or patient data must be made in writing/email.
Please allow up to 28 days from the date of request for processing and provision of the requested information, in accordance with applicable data protection regulations.
Access to NHS Medical Records
Please note that private clinicians at Medicare Clinic do not have direct access to patients’ NHS medical records.
It is the patient’s responsibility to provide any relevant medical history, test results, hospital letters, medication lists, imaging reports, or other information that may be important for the consultation or treatment.
Providing accurate and complete medical information helps the clinician assess your condition safely and appropriately. If further information is required, the clinician may advise you to request copies of your NHS records or relevant documents from your GP, hospital, or NHS provider.
Consent forms
All treatments require completion of a consent form. We will explain the treatment, aftercare and any risk to you thoroughly and ask that you sign the consent form prior to any treatment being carried out. Please feel free to ask as many questions as you wish before signing consent.
Emergency dental appointments
Should you need to see a doctor or a dentist urgently, please contact us as early as possible. Our phones are answered from 9.00 AM till 8.00 PM Monday to Sunday.
Laboratory tests results:
Laboratory test results: we cooperated with laboratories to provide accurate diagnosis. We aim to send all test results asap. The waiting time will be advised during the appointment. Some blood test, which are more specialised, requires longer waiting time. Please bare in mind that the Clinic does not take responsibility for delays caused by laboratory.
Emergencies & NHS Help
If you need urgent medical advice,while the clinic is closed, please call NHS number 111. In case of life-threatening emergencies, please call 999.
Parking
Cardiff – Free parking is available at Brook House.
Reading – Free parking is available along Brock Gardens and August End. Please park along the road as there are also private parkings on the right and left hand side. Please look for the signage.
